1. Who is responsible for your information?

Career Coach AI is responsible for deciding how your personal information is used. This is known as being the data controller.

Career Coach AI is the trading name of Tioluwa Ajao, the data controller.

2. Information we collect

Depending on how you use Career Coach AI, we may collect:

• Your name and email address
• Your password in securely hashed form—we cannot see your original password
• Account status, email-verification status and subscription status
• CV text and PDF content submitted for analysis
• Job descriptions submitted for analysis
• Generated CV scores, reports and review history
• Completed Apprenticeship Application Packs, including the job title, employer name and generated result
• Job applications, company names, job titles, statuses, links and notes saved in the application tracker
• Stripe customer, checkout, payment and subscription identifiers
• Technical information such as IP address, browser details, security events and server logs
• Anonymous funnel event names and timestamps, such as website visits, sample-report views and sign-up clicks, completed registrations, CV reviews, pricing views, checkout starts, confirmed subscriptions and Application Pack purchases
• Campaign labels included in a link, such as its source, medium, campaign and organisation or creative label. If you create an account from a tagged link, those first-touch labels may be saved with the account so we can understand whether the campaign leads to registration or a paid subscription.

Please avoid including unnecessary sensitive information in your CV, such as medical details, ethnicity, religion, political opinions or identification numbers.

3. How we use your information

We use personal information to:

• Create and manage your account
• Verify your email address
• Provide password-reset services
• Analyse CVs and job descriptions
• Generate CV scores and career guidance
• Save your review history and job applications
• Create and save a purchased Application Pack
• Provide subscription features
• Process and manage payments
• Prevent abuse, fraud and security incidents
• Diagnose errors and maintain service reliability
• Measure which stages of the website journey are completed so we can identify and improve unclear steps
• Measure whether outreach and marketing links lead to use of the checker, registrations or subscriptions
• Comply with applicable legal obligations

4. Our lawful bases

Under UK data-protection law, we rely on the following lawful bases:

• Contract: processing necessary to create your account and provide services you request.
• Legitimate interests: protecting the service, preventing abuse, diagnosing errors and improving reliability.
• Legal obligation: keeping information where required for legal, tax, accounting or regulatory purposes.
• Consent: where we specifically ask for permission for an optional use. You may withdraw consent at any time.

5. AI processing

Information you submit may be sent to an artificial-intelligence provider so that Career Coach AI can generate the service you requested.

AI-generated scores and suggestions may be incomplete or inaccurate. They are guidance only and are not employment, recruitment, legal or financial decisions.

Career Coach AI does not make hiring decisions, send your application to employers or guarantee interviews or employment. Important information should be checked by you before it is used.

We do not intentionally use your CV to train our own artificial intelligence models.

6. Service providers

We use trusted providers to operate the service. These currently include:

• Render for website hosting and operational logs
• Neon for PostgreSQL database hosting
• Groq for artificial-intelligence processing
• Resend for account and security emails
• Stripe for payments and subscription management

These providers process information only where necessary to deliver their services. Their own privacy policies may also apply.

We do not sell your personal information and do not share your CV with employers.

7. Payments

Payments are processed by Stripe. Career Coach AI does not receive or store your complete payment-card number.

We may store Stripe customer, checkout, payment and subscription identifiers, together with payment status and amount, so that paid features can be provided and duplicate access is not granted.

8. How long we keep information

• Account information is kept while your account remains active.
• Saved CV review results are kept until your account is deleted.
• Completed Application Pack results and purchase records are kept while your account is active, or longer where a payment record must be retained for legal, tax, accounting or dispute purposes.
• Job applications are kept until you delete them or delete your account.
• Submitted CV and job-description text is processed to provide the requested service. The original CV file and the source text pasted into the Application Pack are not intentionally stored in our active database after processing. The generated result is stored where the feature says it will be saved.
• Security and server logs are kept only for as long as reasonably necessary for security, troubleshooting and service operation.
• Information required for legal, tax, accounting or dispute purposes may be kept for the period required by law.

When an account is deleted, its information is removed from the active database. Limited copies may remain temporarily in secure backups until those backups are replaced.

9. International transfers

Some service providers may process information outside the United Kingdom.

Where required, we expect providers to use appropriate safeguards, such as UK adequacy regulations or approved contractual protections, for international transfers.

10. Cookies and funnel measurement

Career Coach AI uses a strictly necessary session cookie to keep users signed in, protect forms and maintain account security.

• Duration: Normally until the browser session ends

We do not currently use advertising, tracking or optional analytics cookies.

Our internal conversion funnel uses anonymous server-side event counts. A tagged link may also add short campaign labels such as source, medium, campaign and organisation or creative. Funnel records do not contain CV content, names, email addresses, IP addresses or tracking-cookie identifiers.

Campaign attribution is taken from visible parameters in the link you open. We do not add an advertising or analytics cookie for this. If you register from a tagged link, the first-touch campaign labels may be stored with your account and used only for internal campaign measurement.

11. Security

We use measures intended to protect personal information, including password hashing, HTTPS, access controls, secure cookies, CSRF protection and restricted owner-dashboard access.

No online service can guarantee complete security. You should use a strong, unique password and keep your login details private.

12. Users under 18

Some job seekers using this service may be under 18. Privacy information is written in clear language so younger users can understand how their information is used.

If you are under 18 and do not understand this policy, please ask a parent, guardian or trusted adult for help. Do not include unnecessary private or sensitive information in your CV.

We do not use children's personal information for targeted advertising.

13. Your data-protection rights

Depending on the circumstances, you may have the right to:

• Request a copy of your personal information
• Correct inaccurate or incomplete information
• Request deletion of your information
• Request restriction of processing
• Object to certain processing
• Request transfer of information you provided
• Withdraw consent where processing relies on consent
